  6. How to Open and Share Calendar in Outlook

    How Sharing Works
The calendar you share is still your own. In Outlook, your calendar is a folder that stores information about your meetings, appointments, and so on. Sharing your calendar makes all this information visible to others that you select. Here's all you have to do to share:

    a. Give a colleague permission to see your calendar.
    b. Tell that person what you've done.

Sharing used to mean looking at someone else's calendar in another window. Now, Outlook lets you look at several people's calendars at once, without having to switch views. This means that you can:

    1. Easily see when your colleagues will be in or out of the office, or involved in many meetings.
    2. Easily set up meetings with the people you're sharing with.
    3. Easily move or copy appointments between schedules.

Note: If you want to copy a meeting to your schedule, the best way to do that is to have the meeting organizer send you the meeting request (or have some other invitee forward it to you). That way, if the meeting is updated or canceled, you'll hear about the change.

    Share your Calendar
Go to your Calendar, and on the Navigation Pane, under the Calendar folder, click on 'Share My Calendar'

(Navigation Pane: The column on the left side of the Outlook window that includes panes such as Shortcuts or Mail and the shortcuts or folders within each pane. Click a folder to show the items in the folder.).

Next you would add the name of the person you want to share with, and you would set permissions. Permission levels that you would be likely to use for calendar sharing include:
Reviewer - Can read calendar entries but cannot create, modify, or delete them.
Author - Can read or create calendar entries, and can modify or delete only entries that the author has created.
Editor - Can read, create, modify, or delete all calendar entries, whether or not the editor has created them.

Once you'd given someone permission for your calendar, you'd need to let that person know.

Tip: A distribution list is an e-mail address that reaches more than one person. If your company Exchange Server uses distribution lists, you can share your calendar with all the people on a list by sharing it with the list name. However, if you have created personal distribution lists in your Contacts folder, you cannot share your calendar with those people by sharing it with those list names, because the server does not know about them.

How to Open another person's calendar
You can quickly view another person's calendar, contacts, and tasks from the Navigation Pane

(Navigation Pane: The column on the left side of the Outlook window that includes panes such as Shortcuts or Mail and the shortcuts or folders within each pane. Click a folder to show the items in the folder.).

After the first time you access another person's folder, the shared folder is added to the Navigation Pane. The next time you want to view the other person's folder, you can select it in the Navigation Pane.

You can view up to 30 calendars side-by-side in Calendar.
To accomplish this you need to have access to other person's calendar

In Calendar, click Open a Shared Calendar.

To select another person's name from the address book, click Name or type the name in the Name box.

The new calendar will appear to the side of any calendar already in the view.
